Activity 5: Visual Aids

Presentations need careful preparation since they are both visual and written.  As a presenter you can think of a presentation as perhaps, a carefully crafted speech, or a dialogue with a great audience, or a step-by-step explanation of a process.  When you decide which of those types of presentations it will be, you will require some creative visuals, props or charts.  These can be created with a slide program, through actual props or simulations, or pictures/photos made with a graphic program.  If you borrow some visuals from a website, you will also need to cite your use of those visuals in your presentation and avoid using copyrighted material.

As you re-read your outline/script think about the points in your presentation that you want to reinforce with visual aids.  Keep in mind that whatever visual support you choose, it should be informative and not just decorative.  Some of the visual aids that are relatively easy to create include charts, photographs, PowerPoint slides, transparencies, or maps.  You might also take some pictures of actual items you are using if you are doing a demonstration.

 Here are some suggestions for producing effective visuals: 

1. Observe the ‘6 by 6’ rule. No more than six lines, no more than six words per line.  Keep the text short.
2. Typos can be distracting. Always proofread.
3. High contrast is easier to read.  Dark text on a light background is best.
4. Use pictures, maps, and other graphics that reproduce well. If a visual does not show up well on a screen when it is enlarged, don’t use it.
5. Avoid visual elements which might distract from the presentation of your content.  Presentations that include a lot of special effects but little content are ultimately ineffective.
